JOB DESCRIPTION:

A Premier legal executive search firm is seeking a Senior Administrator in Los Angeles. The Senior Administrator is responsible for providing high level administrative and practice group support to Managing Directors and Directors. This support can also include Senior Level Management. This position acts as a partner to the Managing Director and team that they support and is an integral part of the success of the recruiting process. The nature of the support includes, but is not limited to, management of data integrity in our database, complex meeting scheduling, creation and proofing of high-level client facing documents, communication with high level clients and candidates on behalf of the Managing Director and our clients, making travel arrangements, assisting with special projects, and other tasks as assigned.



KEY RESPONSIBILITIES



  • Assist Managing Director and the team throughout the life of the search process keeping the team informed as to the status of candidates in-play and ensuring all deadlines are met.

  • Create and update candidate and client profiles in database, record submissions and interviews, and

  • maintains data integrity.

  • Coordinate high level client, Managing Director, and candidate meetings or interviews, via video conference, telephone or in-person.

  • Handle confidential information from candidates and clients (compensation, salary ranges, etc.) with the utmost care and privacy.

  • Coordinate candidate travel arrangements and prepare expense reports for client reimbursement, as requested.

  • Assist Managing Director with maintaining their Outlook calendar.

  • Assist with preparing Managing Directors for client meetings by providing research on the client, company and competitor information, directions and marketing materials.

  • Partners with the Office Administrative Manager and Regional Operations Manager on local office or regional administrative initiatives.

Required Qualifications :

REQUIREMENTS


  • High level of administrative or business experience: 8+ years’ experience.

  • Exceptional attention to detail; top notch organizational and time management skills.

  • Independent and critical thinker; ability to problem-solve.

  • Initiative to develop new procedures/improve current operations.

  • Excellent written and oral communications skills.

  • Able to work in a group and have a “team-oriented” approach to projects.

  • Capability to present to a group of peers on various training topics as assigned/discussed with administrative management.

  • Excellent Microsoft Office 2016 computer skills: Outlook (managing multiple calendars), Word, Excel, and PowerPoint.

  • Maintain Confidentiality: Safeguard and keep confidential all information, observations, and viewpoints regarding candidates and client business.
